Who we are
Maison Ménage is a sole trader business based in the West Midlands, England. We are the controller of the personal information described here. For any privacy question or request, email customerservice@maisonmenage.co.uk.
What we collect
- Quote enquiries: your name, email address, optional phone number, the property address and postcode, details of the property and the cleaning you need, preferred dates, and any access or parking notes you choose to give.
- The quote assistant and chat: the messages you type, any photos you choose to add, and the summary of your requirements.
- Quotes and bookings: the quotes we prepare for you, your responses, and messages between us.
- Job applications: your name, contact details, postcode, experience, availability, travel arrangements, the areas you can cover and confirmation of your right to work.
- Technical information: limited request data such as IP address, used only to keep the website secure and stop spam.
Please don’t send payment details, door or alarm codes, or sensitive personal information through the website.
Why we use it, and our lawful basis
- To prepare a quote, arrange and carry out your clean, and contact you about it: steps you ask us to take before a contract, and performing our contract with you.
- To consider job applications: steps you ask us to take before engaging you, and our legitimate interest in recruiting reliable cleaners.
- To keep records of the work we do, handle complaints and protect the website from abuse: our legitimate interests in running a safe, accountable business.
- To keep financial records such as invoices: our legal obligations, including tax law.
We don’t sell your information and we don’t send marketing unless you ask us to.
AI assistants
Our chat and quote assistants use Google’s Gemini models through Google Cloud Vertex AI to understand your messages and photos and reply. They help gather the details of your clean; a member of our team reviews every enquiry and approves every quote, so no decision about you is made by AI alone. Photos are stored privately with location and camera data removed, and are visible only to you in your browser and to our team.
Who we share it with
We use trusted service providers who process information only on our instructions:
- Supabase: secure database and private file storage for enquiries, quotes, photos and applications, and staff sign-in.
- Google Cloud: hosts this website and provides the Gemini AI service. Emails sent to customerservice@maisonmenage.co.uk are delivered to our Google mailbox.
- Resend: sends our emails, such as enquiry confirmations and quotes.
- Cloudflare: domain name services and forwarding of emails sent to our address.
When you book a visit, we share the details needed to carry it out (your name, address, phone number, the visit time and how access is arranged) with the cleaners assigned to it.
Some of these providers may process information outside the UK. Where they do, we rely on the safeguards they provide under UK data protection law, such as the UK International Data Transfer Agreement or Addendum. We may also share information where the law requires it.
How long we keep it
- Enquiries, quotes, photos and messages: 2 years after the enquiry was last updated, then deleted automatically.
- Job applications: 2 years after we receive them, then deleted automatically.
- Quote assistant conversations you don’t submit: deleted 30 days after your last activity.
- Invoices and other financial records: as long as tax law requires (for a sole trader, at least 5 years after the 31 January tax return deadline for the relevant year).
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or transfer it to you in a portable format. Email customerservice@maisonmenage.co.uk. We’ll reply within one month. If you’re unhappy with how we handle your information, please tell us first; you can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Cookies
We only use strictly necessary cookies: one keeps your quote assistant conversation linked to your browser, and others keep our staff signed in to the private admin area. We don’t use analytics or advertising cookies. If that ever changes, we’ll ask for your consent first and update this policy.
